Once a participant is in the system, in a participant profile, clients and admins can view data and make edits to the record.
To navigate through the participant view, follow the steps below:
In the left-side navigation, click the down arrow next to Event Overview to expand the menu options
Click Participants
Search for a participant by typing their name in the search bar or click through the table to find their name
Click the pencil icon next to their name
In the right-side of the panel is a toolbar that includes the follow tabs:
Activity - details participant activity such as emails received, transactions, scans, sessions, and surveys taken
Fields - includes all standard and advanced fields
Transactions - shows all Registration and Lead Retrieval transitions, and promo codes (if used)
Option Groups - view option groups and add options in the admin edit view
Line Items - shows Registration and Lead Retrieval line items that were selected
Fees - details balance, payments, discount amounts for Registration and Lead Retrieval Fees
Audit Log - a history of all changes made on the record, including a description, date changed, updated by, changes, old value and new value
Browsing History - a browser history of where the Registration form was accessed, including date, browser, OS, IP, location and URL
Leads - houses a list of leads scanned by the participant and give the ability assign an activation code to the participant
Badges - shows a preview of the participant's badge
Surveys - houses participant certificates and open and completed surveys
Session Activities - details session activities including session name, activity, amount allocated, used and scans
In the left-side of the panel are clickable icons including:
Email Options - houses a list of emails that can be sent to the participant
Login Link - directly links to the participants registration form
Add Transaction - add a Registration or Lead Retrieval transaction to the record
Cancel Participant - click to cancel the participants registration
Generate Badge PDF - (only appears if an Avery badge is setup) allows you to download a PDF of the participants badge
Surveys Login - click the icon and copy the URL into a new browsing tab for access to the participants survey portal
Export Session Access - downloads a report of what sessions the participant has access to and includes session name, room, start time, end time and scan
Export Session Attendance - downloads a report of what sessions the participant attended
Download Invoice - downloads a PDF invoice detailing line items and transactions for the participant
Make a Group - adds a Group tab to the left-side panel and adds the participant to a group. In this section you can add additional participants to the group by clicking the Add Participant to Group button
You can choose to add an existing participant or a new participant to the group
At the bottom of the left-side panel is an option to Delete Participant to completely remove them and their selections from reporting. This participant will no longer be shown in reports.
It is not recommended to delete participants once the Registration form is live. Instead, update their status to 'Cancelled'.
