Import Options to Participants Records, Options into Option Groups, and Promo Codes

Idea

The platform supports bulk data imports, eliminating the need for manual entry. Data can be imported into the system across three key areas:

  • Participants
  • Options
  • Promo Codes 

To import options to participant records, follow the steps below:

  1. Choose the event from the company dashboard
  2. In the left-side navigation, click the down arrow next to the Registration module to expand the menu option
  3. Click Options
  4. Add in the option group and the corresponding option answers
    • For example: If you want to import Registration Type option for participants and the registration types for your event are Member, Speaker, and Exhibitor, then these three types must exist as options in the Registration Type option group.
  5. Verify that your spreadsheet is ready for upload
    • First Name, Last Name, and Email are required
    • The values in your spreadsheet must exactly match the way they are defined in the platform
      • For example: if you are importing the option group "US States", and "North Carolina" is represented as "NC" in the platform, then you must use "NC" in your import file. Any discrepancies in naming or formatting will result in errors or failed imports.
  6. Click into Participants and follow the directions on the page to import the spreadsheet.

To import options to an option group, follow the steps below:

  1. Choose the event from the company dashboard
  2. In the left-side navigation, click the down arrow next to the Registration module to expand the menu option
  3. Click Options
  4. Click on the Add New button
  5. Type the name of the group in the Group Name field
  6. Click Save
  7. Click the Import Option button
  8. Click on the Export Sample button to download a spreadsheet template (if needed)
  9. Click the Upload Spreadsheet button and select the file from your device to import
Notes

The spreadsheet will need to contain the follow columns of date:

  • Name (Option Name) - text
  • Details (Option Details) - text
  • Capacity - number integer (dictates how many participants can select this option)
  • Display Order - number integer (sets the order that the options appear)
  • Visible - yes or no (dictates if the option is visible on the form)

10. Choose the Import Mode

  • Import
  • Import and Update

11. Assign a field to each column by clicking on the dropdown and selecting the correct field name

12. Click the Start Import button


To import Promo Codes, follow the steps below:

  1. Choose the event from the company dashboard
  2. In the left-side navigation, click the down arrow next to the Registration module to expand the menu options
  3. Click Promo Codes
  4. Click on the Import Promo Codes button
Notes

The spreadsheet will need to contain the following columns of data:

  • Code - text (actual code participants will use)
  • Cap - number integer (dictates how many participants can select this option)
  • Discount Type - amount or percentage
  • Discount Amount/Discount Percent - number integer for dollar amount off or percentage off
    • It is strongly recommended that each import spreadsheet contains only one type of discount: either a discount amount or a discount percentage - not both.
    • If your setup requires both types, create two separate spreadsheets:
      • One for discount amounts
      • One for discount percentages
    • Import them one at a time to avoid errors and ensure accurate processing
  • Notes - text

5. Click on the New Import button and select the file from your device to import 

6. Assign a field to each column by clicking on the dropdown and selecting the correct field name

7. Click the Start Import button
